1. Who we are

Learnic Campus is a multi-tenant School ERP and smart campus management platform that helps educational institutions manage student records, attendance, fee collection, communication, admissions, learning resources, and related school operations.

2. Information we collect

Depending on how you use Learnic Campus, we may collect the following categories of information:

• School and administrator data: school name, subdomain/tenant identifiers, staff names, roles, email addresses, phone numbers, and login credentials.
• Student data: name, date of birth, class/section, enrollment and academic records, attendance, homework, exam results, documents uploaded for admissions or records, and digital ID information where enabled.
• Parent/guardian data: name, relationship, contact numbers, email addresses, and messaging preferences used for notices, alerts, and fee reminders.
• Fee and billing data: fee structures, invoices, payment history, amounts due, discounts, and transaction references related to school fee payments.
• Payment transaction data: payment status, order/payment IDs, gateway reference numbers, payment mode (e.g. UPI, card, net banking), and timestamps. Card numbers, CVV, UPI PINs, and similar sensitive payment credentials are processed by our payment gateway partner and are not stored by Learnic.
• Biometric / face recognition data: where a school enables AI face attendance, facial templates or related attendance verification data may be processed solely for attendance marking as configured by that school.
• Usage and technical data: device information, IP address, browser type, app version, logs, and analytics needed to operate, secure, and improve the platform.

3. How we use information

We use personal information to provide and improve Learnic Campus, including to:

• Operate school ERP features such as student management, attendance, exams, homework, admissions, library, transport, and digital learning resources.
• Enable online collection of school fees and related charges through integrated payment gateways, issue payment links, and maintain payment history for schools and payers.
• Send operational communications such as fee reminders, attendance alerts, school notices, and parent-teacher messages via in-app channels, SMS, and/or WhatsApp where configured.
• Authenticate users, enforce role-based access controls, prevent fraud and abuse, and maintain platform security.
• Provide technical support, onboarding, training, system maintenance, and product updates to schools.
• Comply with applicable laws, respond to lawful requests, and resolve disputes related to platform use or payments.

4. Multi-tenant school data and ownership

Learnic Campus is a multi-tenant platform. Each school’s operational data is logically separated by school/tenant identifiers. Schools remain the primary controllers of their student, parent, staff, and fee data entered into the platform.

Learnic processes such data as a service provider to deliver the ERP and payment facilitation features requested by the school. We do not sell personal data to third parties for marketing purposes.

5. Online payments and payment gateway partners

When parents, guardians, or authorized payers pay school fees online, payment processing is handled by our authorized payment gateway partner(s). The gateway may collect and process payment instrument details in accordance with its own privacy policy and applicable RBI / payment network rules.

Learnic stores transaction references, payment status, amounts, and related invoice settlement information needed for school finance records and reconciliation. We do not store full card numbers or authentication secrets.

6. Sharing of information

We may share information only as needed to operate the service:

• With the school that owns the relevant student/fee account, including school administrators and authorized staff.
• With payment gateway partners to initiate, complete, reconcile, refund, or dispute fee payments.
• With SMS, WhatsApp, email, or other communication providers used to deliver school-authorized notifications.
• With cloud hosting and infrastructure providers that support secure storage and application delivery.
• With professional advisors or authorities when required by law, regulation, legal process, or to protect rights, safety, and security.

7. Children’s data

Learnic Campus is designed for K-12 and similar educational institutions and therefore processes children’s personal data as entered and managed by schools and parents/guardians. Schools are responsible for ensuring they have appropriate authority and parental consent (where required) to collect and process student data on the platform, including biometric attendance where enabled.

We do not knowingly use children’s data for unrelated advertising. Parents/guardians may contact the school administration or erp@learniccampus.com for access, correction, or deletion requests related to student records, subject to school policy and legal retention requirements.

8. Data retention

We retain personal information for as long as needed to provide services to the school, maintain financial and audit records (including fee payment history), resolve disputes, and meet legal, regulatory, and contractual obligations. When a school ends its subscription, data retention and deletion timelines follow the applicable service agreement and statutory requirements.

9. Security

We use administrative, technical, and organizational measures designed to protect personal information, including access controls, encrypted transport, secure cloud infrastructure, and operational monitoring. No method of transmission or storage is completely secure; schools and users must also protect their login credentials and devices.

10. Your choices and rights

Subject to applicable law and the school’s role as data controller for school-managed records, individuals may request access, correction, update, or deletion of personal information by contacting their school administration and/or Learnic at erp@learniccampus.com. We may need to verify identity and may refer school-owned record requests to the relevant school.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will reflect the latest revision. Continued use of Learnic Campus after changes become effective constitutes acceptance of the updated policy, where permitted by law.
