Terms and Conditions

1. About the service

Learnic Campus is a School ERP and smart campus management platform that enables educational institutions to digitize operations including student management, attendance (including face recognition where enabled), fee management and online fee collection, parent communication (notices, SMS/WhatsApp alerts), admissions, homework and exams, digital learning resources, library management, transport, digital ID cards, and related modules.

Features available to a school depend on the subscribed plan, configuration, and modules enabled for that school.

2. Roles and responsibilities

• Learnic: provides the SaaS platform, hosting, maintenance, and integrations (including payment gateway connectivity for online fee collection where enabled).
• Schools (tenants): configure and operate the ERP for their institution, define fee structures and invoices, manage student/parent records, and remain responsible for the accuracy of fee amounts and school policies communicated to parents.
• Parents/guardians and authorized payers: use the platform or payment links to view dues (where available) and pay school fee invoices online.
• Staff and administrators: access the system under role-based permissions granted by the school.

3. Accounts and access

Users must provide accurate information and keep login credentials confidential. Schools are responsible for authorizing staff accounts and promptly revoking access when staff leave or roles change. Unauthorized access, credential sharing, scraping, reverse engineering, or attempts to disrupt the service are prohibited.

4. School fees and online payments

Where online payment is enabled for a school, parents/guardians or authorized payers may pay tuition and other school fees through our integrated payment gateway partner(s).

Fee amounts, due dates, late fees, discounts, and categories are defined by the school. Payments made through the platform are intended to settle the corresponding school fee invoices or payment requests issued by that school.

Learnic facilitates collection and reconciliation tooling for the school. Unless expressly stated otherwise in a written agreement, Learnic is not the educational service provider and does not set school fee amounts. Payment success depends on the payer, bank/UPI/card networks, and the payment gateway.

By initiating a payment, the payer confirms they are authorized to make the payment and that the information provided is accurate.

5. Subscriptions between schools and Learnic

Schools may engage Learnic for one-time setup (including branding, onboarding, and data migration assistance where agreed) and ongoing maintenance/support fees (for example, monthly or per-student charges as quoted). Commercial terms, invoices, and SLAs for platform subscription are governed by the applicable proposal, order form, or service agreement with the school.

6. Acceptable use

Users must not use Learnic Campus to upload unlawful, harmful, or infringing content; harass others; send spam; bypass security controls; or process data without lawful basis. Schools must ensure their use of biometric attendance, student data, and communications complies with applicable laws and their internal policies.

7. Intellectual property

The Learnic Campus software, branding, documentation, and related IP remain the property of Learnic Tech or its licensors. Schools retain ownership of their institutional data. Schools grant Learnic a limited license to host and process that data solely to provide the services.

8. Third-party services

The platform may integrate third-party services such as payment gateways, SMS/WhatsApp providers, and cloud infrastructure. Use of those services may be subject to their respective terms. Learnic is not responsible for outages or failures solely attributable to third-party networks or providers beyond reasonable control.

9. Disclaimers

Except as expressly agreed in writing, Learnic Campus is provided on an “as available” basis. We strive for high uptime and accurate fee reconciliation displays, but we do not warrant uninterrupted service or that every third-party payment will complete without delay. Schools remain responsible for verifying critical academic and financial records.

10. Limitation of liability

To the maximum extent permitted by law, Learnic Tech shall not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill arising from use of the platform or payment delays/failures caused by banks, UPI apps, card networks, or gateway partners.

Where liability cannot be excluded, Learnic’s aggregate liability related to the platform for a claim shall be limited to the fees paid by the relevant school to Learnic for the service period in which the claim arose, except in cases of proven willful misconduct where applicable law requires otherwise.

11. Indemnity

Schools agree to indemnify and hold Learnic harmless from claims arising out of school-configured fee amounts, school policies communicated to parents, unauthorized staff actions, or unlawful processing of student/parent data by the school, except to the extent caused by Learnic’s proven breach of these Terms.

12. Suspension and termination

We may suspend or restrict access for security risks, non-payment of platform fees by the school, or material breach of these Terms. Schools may terminate platform use as per their service agreement. Provisions on IP, liability, indemnity, and governing law survive termination.

13. Governing law and disputes

These Terms are governed by the laws of India. Courts in Mumbai, Maharashtra shall have exclusive jurisdiction over disputes arising from these Terms, subject to any arbitration or dispute-resolution clause in a separate written agreement with a school.

14. Changes

We may update these Terms periodically. The “Last updated” date indicates the latest version. Material changes may be communicated via the website, email, or in-product notice. Continued use after updates constitutes acceptance where permitted by law.
